Using the Cite Capture Function

Overview

The Cite Capture function in Benchly allows users to manually find and mark citations that the automated Find operation may have overlooked. This feature is particularly useful for handling obscure, non-standard, or localized authorities. With Cite Capture, users can ensure their Table of Authorities (TOA) is comprehensive and accurate.

How to Use the Cite Capture Function

  1. Open the Found Authority Panel:
    • Ensure the Found Authority Panel is open by clicking Review on the Benchly ribbon. Locate the Cite Capture button, as shown below:

  1. Select Text for Cite Capture:
    • Highlight the text in the document you want to mark as a citation. For example:

  1. Activate Cite Capture:
    • Click the Cite Capture button. The Cite Capture Dialog Box will appear, displaying the highlighted text and options for entering examples of citations to find.

  1. Find Matches:
    • Click the Find Matches button. Benchly will search for similar or exact matches within the document. Suggested matches will be displayed in a list.

  1. Review and Select Matches:
    • Check the boxes next to the appropriate citations. Uncheck any entries that don’t apply.
  2. Assign the Citation to a Section:
    • Use the Authorities button to add a new custom section or select an existing category (e.g., Cases, Statutes, Rules).

  1. Apply the Changes:
    • Click Select or Apply to add the citations to the TOA.

Best Practices

  1. Highlight the Full Citation:
    • Highlight complete citations (e.g., "5 U.S.C. § 552") for more accurate results.
  2. Verify Matches:
    • Carefully review the suggested matches to avoid including irrelevant or incorrect citations.
  3. Create Custom Sections:
    • If necessary, create a custom TOA section using the Authorities button for unique citations.
  4. Refine Search Terms:
    • Use partial terms cautiously and refine as needed for better match accuracy.

Troubleshooting

  • Citation Not Found:
    • If no matches are found, consider modifying the highlighted text or manually adding the citation via the Add/Modify Authority function.
  • Incorrect Matches:
    • Review all suggestions carefully, unchecking those that do not match the highlighted citation.
